Covering a Payroll Gap: What to Do When the Deadline Is Fixed

Practical steps when payroll is due before your receivables arrive — what to check first, which financing shapes fit, and the decisions to avoid under pressure.

Payroll is the one obligation with no flexibility. When the money is coming but hasn't arrived, the pressure makes bad financing decisions easy. Here's a calmer order of operations.

Step 1: confirm what's actually owed to you

Pull an accounts receivable aging report. Which invoices are past due, and by how much? A single phone call to a customer sitting on a 45-day invoice resolves more payroll gaps than any financing product, and it costs nothing. Ask for a specific payment date, not a reassurance.

Step 2: check what you already have access to

An existing line of credit, even a small one, is almost always cheaper than new emergency financing. So is a supplier who will extend terms by two weeks if you ask directly and honestly.

Step 3: match the product to a gap measured in days

  • **Invoice financing** — if the gap is specific unpaid invoices, this is the most directly matched product.
  • **A line of credit** — the right long-term answer; establish one before the next gap, even if it can't help today.
  • **A revenue-based advance** — fast and widely available, and the most expensive. If you use one, understand the total cost and repay it as planned.

Step 4: fix the pattern, not just this week

One payroll gap is timing. Repeated payroll gaps are structural — payment terms, pricing, collection discipline, or cost base. Managing existing debt before you apply covers how to read which one you're in, and financing for cash-flow gaps covers the products built for each.

Payroll and tax obligations have legal consequences separate from any financing decision. This is general information, not legal or tax advice — talk to your accountant about your specific situation.
