Qualifying for financing

Documents Needed for a Business Loan Application

The paperwork lenders commonly request, why each item exists, and how to assemble a file that doesn't stall halfway through underwriting.

Most applications don't fail on documents — they stall on them. Weeks disappear waiting for a statement or a tax return, and momentum with a lender is a real thing. Assembling the file first is the cheapest advantage available to any business owner.

The short list almost everyone asks for

  • Business bank statements — typically three to six months, sometimes twelve. This is how revenue gets verified; see how lenders verify revenue.
  • Identification for each significant owner
  • Entity documents — formation paperwork and EIN confirmation
  • A debt schedule — every existing obligation with balance, payment and maturity
  • Use of funds — what the money is for, specifically

What gets added as the amount or term grows

  • Business and personal tax returns, usually two to three years
  • Profit and loss statement and balance sheet, year to date
  • Accounts receivable and payable aging reports
  • Personal financial statement for each significant owner
  • Industry licenses, permits and insurance certificates
  • Your business lease, if you rent

For longer-term routes like property purchases or acquisitions, the list expands considerably — see the SBA and real estate document checklist.

Two habits that make every future application easier

First, keep business money in a business account. Commingled personal and business activity makes revenue nearly impossible to verify cleanly, and it's the most common structural problem in small-business files. Second, keep the debt schedule current — it's requested constantly and it's usually the piece that's missing.
